Customer reviews used to stress me out. AI changed how I respond to them.

Got a bad review from a customer who was unhappy. One-star. Unfair in my view โ€” there were circumstances he didn't mention. I was furious and wrote a response I'm glad I didn't post. My wife said try AI to write the response. I said I didn't need help writing a response I needed help not writing the wrong one. She was right (as usual). I told Claude the full story โ€” my version and the customer's. Asked it to help me write a response that was professional, acknowledged what the customer experienced, and didn't throw me under the bus or be defensive. What came back was better than anything I would have written angry. It was calm. It addressed the specific complaint. It offered to make it right. It didn't over-explain or make excuses. That review now has my professional response under it. Two people have since mentioned seeing how I handled it and deciding to call me because of it. Now I use AI for all customer responses, not just the bad ones. My Google reviews have more engagement because the responses are actually worth reading.

โœฆ WORKFLOW STEPS
1Write out your emotional response first โ€” don't post it, just get it out
2Give AI the review and your full side of the story
3Ask for a professional response that acknowledges without being defensive
4Sleep on it before posting even the AI version
๐Ÿ“‹ THE PROMPT
Help me respond to this customer review professionally. The review: [paste]. My side of the story: [explain]. I want a response that: acknowledges their experience, is not defensive, offers to make it right if appropriate, and sounds like a business that cares. Keep it under 100 words.
